We accept referrals either by your primary care vet, or self-referrals. Either way we will need your pet’s full clinical history and lab reports, which will require you to give consent to your primary care practice to share these with us.
Once we have received a referral request, a member of our team will contact you directly to arrange an initial referral appointment with one of our oncologists. We will arrange a time to suit you and where possible, look to arrange procedures or treatments on the same day if that is your preference.
We aim to contact all new referrals within 24 working hours and us receiving a referral request.
We aim to offer an appointment within a maximum of 2 weeks from first contact however most referrals are seen within 1 week.
If we are experiencing busy periods, we will inform our referring practices in order to keep you informed.
All consultations are by appointment only.
Initial referral consultations with one of our oncologists are 45 minutes long and charged at £252.
Due to the nature of Oncology medicine and the variance in treatment options, costs will vary patient to patient. We will provide written estimates for the treatment options suitable for your pet. While we endeavour to be as accurate as possible, estimates provided are an approximation due to the nature of veterinary medicine.
We understand that this is a stressful time for you and your family, so wherever possible we will try and claim fees directly from your insurance company. This means you do not have to worry about submitting the correct paperwork for reimbursement to yourselves. We will still provide you with estimates and a copy of all invoices at each treatment.
We will ask that you sign a direct claim insurance consent form at your visit, explaining our claim process and that if for any reason your insurance company does not pay all or part of your claim, you will need to settle invoices with us directly.
We charge the same fees and costs regardless of whether we claim invoices directly from your insurance company or whether you settle your account with us and claim invoice payments back to yourselves.
What we need from you:
· A copy of your pet’s current insurance certificate
· A fully completed and signed claim form OR claim information if your company process claims online
· You to ring your insurance company and give them permission to speak to us regarding your pet’s claims. This is a GDPR issue, and they will not be able to give us any of claim details without your consent, which can delay the claim process.
Maintaining a positive cash flow is vital to any business, and as such we are only able to give your insurance company a maximum of 12 weeks to notify us of intent to settle a claim. Unfortunately, after this time, we will ask you to pay any outstanding invoices to us and for you to pursue settlement against your insurance policy.
